How to Use Your CRB Clearance Certificate in Kenya

Updated April 2026 • 5 min read

You have gone through the process, checked your status, cleared any listings, and obtained your CRB clearance certificate. Now what do you do with it? This guide explains the different situations where you will use it and practical tips for presenting it correctly.

What a CRB Clearance Certificate Proves

Your certificate proves one specific thing: that as of the certificate's issuance date, you had no outstanding adverse credit listings in the bureau's database. It is a point-in-time certification. Anyone verifying it will confirm:

  • The certificate is authentic (via the bureau's reference number)
  • It is within the validity period (30–90 days from issue)
  • The name and ID on the certificate match the person presenting it

1. Using It for Job Applications

When an employer requests a CRB clearance certificate:

  1. Provide a clear PDF copy — do not alter it in any way.
  2. Ensure the certificate is still within its validity period on the submission date. An expired certificate will be rejected.
  3. If submitting physical documents, print on A4 and do not fold unnecessarily.
  4. If submitting via email or online portal, send the PDF as a named attachment (e.g., "John_Muia_CRB_Certificate.pdf").
  5. The employer's HR department may verify the certificate number directly with the issuing bureau — this is normal. Do not be concerned unless your certificate has been altered.

2. Using It for Government Tenders

For government tender applications:

  1. The certificate must be current — issued within the past 30–90 days as specified in the tender documents. Note: different tenders may specify different validity windows. Read the tender requirements carefully.
  2. Individual directors and shareholders must typically each provide their own certificate — one company-level certificate is not always sufficient.
  3. Include the certificate in your bid documents under the "Mandatory Requirements" section.
  4. Certified copies may be required — verify with the procuring entity whether originals or certified copies are needed.

3. Using It for Loan Applications

For bank loans or mortgages where a formal certificate is requested:

  1. Provide the PDF or printed copy as part of your application documentation package.
  2. Ensure it is within the validity period.
  3. The lender will also typically pull your credit report automatically from the bureau — the certificate is a supplementary document, not a replacement for their internal check.

4. How Institutions Verify CRB Clearance Certificates

Employers and institutions verify certificates in two main ways:

  • Check the certificate number: Match the unique reference number on the document against the bureau's online verification portal.
  • Call the bureau directly: In some cases, HR departments call the bureau to verbally confirm authenticity for high-value hires.

Forging or altering a CRB clearance certificate is a criminal offence in Kenya. Do not attempt it.

5. Renewing Your Certificate

Certificates expire after 30–90 days. If you need to use one after your current certificate expires:

  1. Check your CRB status again (KES 300 at crbcheck.co.ke) to confirm your record is still clean.
  2. Apply for a fresh certificate from any bureau (~KES 2,200).

There is no shortcut. Fresh circumstances require fresh certification.

Tips for Managing Your Certificate

  • Download and save the PDF immediately upon issue — some bureau portals expire download links.
  • Store in Google Drive or a secure cloud folder so you can access and re-send quickly.
  • Note the expiry date in your calendar so you are not caught with an expired certificate at a critical moment.
  • Do not share the certificate on public social media — it contains your personal ID number and should be shared only with institutions that require it.
