Going through the CRB clearance process without the right documents can result in delays, rejected applications, or incomplete record updates. Here is a complete list of documents you will need at every stage of the process.
1. National ID Card or Passport
Your national identity card (or valid Kenyan passport) is the primary identification document used across all stages of CRB clearance. You will need it to:
- Access your CRB report online
- Communicate with lenders about your account
- Apply for a CRB clearance certificate from any bureau

2. Your Current CRB Report

3. Proof of Debt Repayment
Once you repay the outstanding debt, keep every piece of evidence:
- M-Pesa transaction confirmation (screenshot and SMS) — for mobile loan repayments.
- Bank payment receipt or bank statement showing the transfer to the lender's account.
- Official lender receipt — a physical or email receipt from the lender confirming payment received.
- SACCO payment slip — for SACCO loan repayments, obtain an official slip from the SACCO office.
Keep multiple copies. You may need to provide these to the lender, the CRB, or a potential employer.
4. Lender Clearance Letter
This is the most critical document in the process. After repaying your debt, formally request a clearance letter from the lender. This letter must contain:
- Lender's official letterhead
- Your full name and ID number
- Loan account number
- Confirmation that the loan/debt is fully settled
- Authorization for the CRB to update your record
- Signed and stamped by an authorised representative of the lender
Without this letter, you cannot effectively follow up with the CRB if your record is not updated. Some lenders provide this proactively; others require you to formally request it.
5. CRB Dispute Form (If Applicable)
If the listing on your report is incorrect or fraudulent — for example, a loan you never took — you do not repay it. Instead, you file a formal dispute. For this you will need:

- A copy of your national ID
- A written explanation of the dispute
- Supporting evidence: proof that you never received the loan, police abstract (for fraud cases), or any documents contradicting the listing
6. Loan Statement from the Lender
If there is any ambiguity about the exact outstanding amount, request a loan statement from the lender. This shows the original loan amount, repayments made, balance outstanding, and any penalties or interest. This is essential before making final payment to ensure you are paying the correct amount.
7. Documents for the Clearance Certificate Application
After your CRB record is clean, to apply for the formal clearance certificate you will typically need:
- Copy of your national ID (front and back)
- Your KRA PIN certificate (some bureaus require this)
- Your phone number and email address
- Payment of the certificate fee (approx. KES 2,200 per bureau)
